Duties and Responsibilities

  • Assist with the smooth operations of Eclosia’s training centre
  • Maintain and update the training calendar and dashboard.
  • Liaise and coordinate with all stakeholders (HR and Finance personnel, trainers, venues, suppliers) to ensure the successful delivery of training programmes.
  • Ensure that training rooms are set up correctly and that all necessary resources are available for trainers and participants, such as training manuals and stationery.
  • Handle incoming calls, e-mails, and enquiries from stakeholders. Provide information about courses, schedules and registration procedures.
  • Assist with costing of training programmes as well as registration thereof on the MQA platform.
  • Maintain accurate records of training programme attendance, participant information and feedback. Update databases and spreadsheets as needed.
  • Generate purchase requests, purchase orders and invoices and process payments. Manage petty cash and track expenses. Assist with budget management.
  • Welcome participants and assist them with any questions or concerns they may have during their training programmes.
  • Identify areas for improvement in administrative processes.

Profile

 

  • 1+ year of relevant working experience (organizing workshops, training sessions, Good understanding of MQA procedures…)
  • Good Time management skills.
  • Experience with Microsoft Office
  • Strong customer service skills
  • Strong interpersonal and communication skills
  • Ability to multi-task and prioritise
  • Ability to work as part of a team and on own initiative
  • Efficient and organised with good attention to detail
  • Experience in organising events such as seminars, workshops or conferences
